UK & Ireland onboarding
This page contains tasks to be completed during your onboarding period (from pre-start to your first day). Follow this checklist and check the instructions of each task to ensure a smooth onboarding experience!
Pre-Onboarding Tasks
You should complete the tasks below before your Hiring Date!
- Complete your right to work check. (See the “Right to Work” tab for more details)
- Complete the New Starter Documents. (See the “New Starter Documents” tab for more details)
- Provide proof of Address. (See the “New Starter Documents” tab for more Instructions)
- Complete your Background Checks. (See the “Background Check” tab for more Instructions)
- Complete your Workday Tasks. (See the “Workday Onboarding” tab for more Instructions)
1st Week Onboarding Tasks
You should complete the tasks below in your First Day & First Week at WEX!
- Log into your laptop on your start date – Do not attempt to log in before (See the Equipment Setup Instructions for more details)
- Attend the New Hire Orientation in your first week. (See the “Day One at WEX” tab for more Instructions)

For UK new hires, the Right to Work checks are completed via the ‘Rightcheck’ app. The process is as follows:
- Install the app on your phone.
- Click the link received in the text message.
- Have your in-date passport or share code ready
For candidates with share-codes, we will conduct a video call to verify your identity. If you have a Birth Certificate, the check will be done in person, and details will be sent via email.

You will receive the HR Onboarding documents from our HR Department (please check your Spam/Junk folder). The documents will include:
- HMRC Starter Checklist Form
- Beneficiary Nomination – Expression of Wish Form
- Bank Account Details
Please complete these forms and return them to HR at hr@wexinc.com
Provide us with proof of address
Kindly share a photograph of the document displaying your address verification. Acceptable options include a driver’s license, utility bill, bank/credit card statement, or P60/P45.

Reminder: available for UK & Ireland only
We will initiate your background screening check, as outlined in your hire documentation. You will receive an email invitation from Sterling, our external background checking service. The checks will include Employment verification.
To facilitate this process, Sterling will request the following details:
- Employment Verification (last 5 years employment history, up to 3 employers including position held and dates (email, phone number, contact name) – you will be asked for proof of employment, however at this point this is not required.
Some roles might require more checks, these will include:
- Education verification for global screening (maximum 2 degrees or information about college/university – place of education, address and dates)
- Employment verification for global screening
- Standard Criminal Record Check (7 years of home address history – full address including postcode with from and to dates)
- Extended global sanctions
- Credit check*
Complete your Workday Tasks
Within 24 hours of offer acceptance, you will receive two emails from wexinc@myworkday.com; The first will include your Workday username and the URL to access Workday. The second email will include your temporary password.
Once you log in, you will see your onboarding tasks below. Kindly ensure that all tasks are completed before your start date.

- Consent to share personal email address
- Edit Government IDs – You will need to press a + sign on the left to add a new line. Regardless of your nationality, please input the United Kingdom under Country. This will then prompt you to choose the document type National Insurance Number and its number. There is no need to input any dates, just the country, document type and number.

- To Do: Change My Photo – you do not have to add your photo if you do not want to, you can also change it at a later time if you wish, but for now please submit this task to complete your onboarding.

Equipment setup – prior to your start date
You will receive an email with a tracking number once the equipment has been shipped. When you receive your equipment, find a place where you want to have your workstation and set up your equipment using the set up for your equipment type.
You will receive login credentials by email. If you do not receive them please join the New Hire Orientation during the technical support time to obtain them. You can check the correct time in the New Hire Orientation agenda, available in the Day One at WEX tab.
Logging in for the first time on your start date
STOP! Do not attempt to log into your computer until after 7:30 AM EST on your start date. Your system access will not be enabled until that time. Multiple failed login attempts will result in locking you out of your computer and require password reset assistance from our help desk.
Use the login credentials sent to you by your manager and the instructions below to login to your computer AND set up OKTA to securely access your WEX applications.

On your first day at WEX your initial task will be to log in to your computer.
Remember: Use the login information sent you from your manager. Do Not Attempt to login until your First day.
Your first day will be coordinated by your Hiring Manager; they are preparing everything for your 1st Day!
In your first week, you will attend the New Hire Orientation, HR will contact you to book the session.
