We’ve prepared some FAQs to help guide you through your journey to the new system.

General information

What is happening?

We’re upgrading the system that you use to manage your Esso Card™ so that we can give you more enhanced features in the future. This will allow us to provide exciting developments for you in the future. From [time/date] you will no longer have access to Esso Card™ Online but don’t worry, you’ll soon receive an activation email to login to your account on a new platform called OLS.

Will my fuel cards continue to work during the change to the new system?

Your fuel cards will work the same throughout the transition with no interruption. But, there will be a short time where you won’t be able to access some features on your online account. From [time, date] you will no longer be able to access some features on Esso Card online. Don’t worry though, at [time, date] your new OLS will be ready for you to activate all your usual account management functions.

What are the main differences between Esso Card™ Online and the new online portal, OLS?

Although it may look a bit different to what you’re used to, your OLS account will allow you to do all the same things you currently do on Esso Card™ Online. You’ll soon be up to speed with the new layout and our online guides [link to resources page] can help you with anything you’re unsure about. When you receive your activation email, you can click on the link to choose a password and activate your account at any point during the next 7 days. Your link will expire after those 7 days but you can always click the option to generate a new link.

What is changing with PIN codes in the new system?

We’re making changes to make your account more secure. If you usually choose your own PIN for your Esso Card, instead of receiving a randomly generated PIN, you will have to specify this PIN when ordering cards in future. We’ll no longer automatically set new cards to your preferred PIN. Your current cards in use will retain your chosen PIN. Bear in mind that for current cards you hold, if you request a PIN reminder in future you’ll receive a brand new PIN.

Online access

What limitations will there be on my online account?

From [time/date] you will no longer have access to your Esso Card™ Online account but don’t worry, you’ll receive an activation email to login to your new OLS account on [date]. During this short transition period you won’t be able to manage cards, retrieve invoices or pull reports but we’ll soon have you up and running again. In the meantime you can contact our helpdesk for anything you need urgently.

I need to add new users to my account or order new cards?

From [time, date] you will temporarily not be able to add new users to your account or order new cards. However, you won’t have to wait long. At [time, date] you’ll be all set to perform these functions once again after you’ve activated your account on the new platform, OLS.

Online functionality

Will I be able to order new cards during the change to the new system?

As part of the transition period from [time, date] you’ll no longer be able to add additional cards or [add other restrictions]. Rest assured, as soon as your new OLS is ready on [time, date] all these features will be available to you again.

Will I be able to access historical data in the new system?

Unfortunately, you won’t be able to access historical data from your Esso Card™ Online account on the new platform, OLS. You can take this chance to extact any reports or data you need to save for future use. Please download whatever you need from your Esso Card™ Online account by [time, date].

Billing and invoicing

What is happening with invoices during the change period?

We’re sorry that this upgrade will cause a slight disruption or change to your billing cycle. So we can get you back on track with your regular invoicing period, you’ll receive a ‘special’ invoice as a one-off to cover any transactions that fall between the end of your last invoicing period using the old dates and the start of your new billing period on the new dates. This ‘special’ invoice is subject to your standard payment terms on your account. We know you may need to access this special invoice in the period when you no longer have access to your Esso Card Online on [date] and before your account can be activated on the new platform, OLS. So, there will be a small window between [date,time] and [date,time] when you will be able to temporarily log back in to Esso Card Online to access this invoice.

What other changes are there if I am billed weekly?

As a customer who is invoiced weekly your invoice day will now be on a Monday instead of a Thursday. Your invoice date will be 3 days earlier but otherwise your payment terms will not change.

We’re making a change to the way we split your weekly invoices. You will always receive 4 weekly invoices in each month followed by an additional invoice to cover transactions on any remaining days left in the month. After this part-week invoice, your first weekly invoice for each month will always cover transactions from the 1st day of the month. Payment terms for your additional invoice are the same as your usual invoices.

What other changes are there if I am billed fortnightly?

As a customer who is invoiced fortnightly your invoice day will now be on a Tuesday instead of a Thursday. Your invoice date will be 2 days earlier but otherwise your payment terms will not change.

We’re making a change to the way we split your fortnightly invoices. You will always receive 2 fortnightly invoices in each month followed by an additional invoice to cover transactions on any remaining days left in the month. After this part-week invoice, your first fortnightly invoice for each month will always cover transactions from the 1st day of the month. Payment terms for your additional invoice are the same as your usual invoices.

What other changes are there if I am billed bi-monthly?

As a customer who is invoiced bi-monthly your invoice day will change form the 17th to the 15th of each month. Your invoice date will be 2 days earlier but otherwise your payment terms will not change.

Will my invoice look the same?

Your new invoice will be split across two sections. This will make it easier for you to see credits and debits on your account as there will be separate invoice sections for each.

There will also be some changes to your payment summary document. The new system shows transactions in a slightly different way so you will only see invoiced transactions on your payment summary instead of all open items.

Will I continue to receive digital and hard copy invoices in the same way?

We will continue to send you your choice of invoice by email or by post. You can change your preference and addresses at any time in your online account settings. Unfortunately if you previously received invoices both by email and by post you will now only receive it by email unless you update your settings to receive a postal invoice only. We can no longer send both.

Will fees be treated the same way on the new invoice?

You may notice a slight change to when you see card fee charges or other additional account charges such as EcoMiles or Card Secure appear on your invoices. These charges have previously been generated on the last day of the month but will now be generated several days before, so please note that they may appear in a different billing week to where they may have appeared before.
